Setting up Multi Gift

How to access

Multi Gift lets your customers send gifts to many recipients in one order. It's on the Professional plan, and your Multi Gift rate is shown on Settings → Subscription. This article covers each part of the setup in the order you'll do it.

  1. In Giftnote, go to Settings → Subscription.
  2. Select the Switch to button on the Professional plan. Only the Shopify account owner can change plans.
  3. Once you've upgraded, Multi Gifts appears in the Giftnote menu.

Before you launch, place a few test orders to check everything works with your setup, including any ERP, reporting tools or 3PL you use.

Storefront settings and shop-wide settings

Your Multi Gift ordering site is called a storefront, and you can run more than one. Settings come in two kinds:

  • Storefront settings: go to Settings → Multi Gifts and select Edit on a storefront. Each storefront has its own tabs: Identity, Branding, Products, Pricing, Shipping, Form, Language & Content and Advanced.
  • Shop-wide settings: go to Settings → Multi Gifts → Advanced settings. Order approval, the main order, order tags, cleanup timers, tax and discount codes apply to every storefront.

If you can't find a setting, check the other kind.

1. Enable products in the Giftnote sales channel

Your storefront only shows products that are in the Giftnote sales channel. (A sales channel is where Shopify lets a product be sold, such as your online store or Giftnote.)

  1. In Shopify admin, go to Products.
  2. Tick the products you want to offer. Use Select all for many at once.
  3. Select the … menu → Include in sales channels → Giftnote → Include Products.
  4. Do the same for any collections you want to show.

Products still missing from the storefront?
Open the collection in Shopify and check that the collection and the products in it are both in the Giftnote sales channel.

2. Configure settings

  • Staff alerts: Multi Gift emails for your team go to the contacts on Settings → Profile & Contacts that have the Administration category turned on. There's no separate contact per storefront.
  • Allow discount codes at checkout: lets customers enter Shopify discount codes when they pay for a Multi Gift order. Shop-wide, under Advanced settings.
  • Track Inventory: checks stock in Shopify before a customer can buy. Per storefront, on the Advanced tab.
  • Show Back to Shop: shows a link back to your main store. Per storefront, in the Display card on the Branding tab.

Order settings

Go to Settings → Multi Gifts → Advanced settings → Order tags. These apply to every storefront. Giftnote tags every multi-gift order in Shopify so you can find and filter them:

  • GNMG-Parent on the main order, and GNMG-Child on each recipient order
  • A shared family code (GNMG- plus a short code) on every order in the group
  • If you want, one tag of your own on each side: Your own tag on the main (parent) order and Your own tag on recipient (child) orders. If you enter more than one, Giftnote uses the first.

You can't change or turn off the Giftnote tags. The page previews the tags your next multi gift will get.

Order approval

Go to Settings → Multi Gifts → Advanced settings → Order approval. Your customer always pays at checkout. This setting decides what happens next: Giftnote creates the recipient orders straight away, or holds them until you approve.

  • Require your approval before recipient orders are created off (the default): Giftnote creates every recipient order automatically.
  • On, with no rules: every order waits for your approval.
  • On, with rules: an order waits for your approval when any rule matches, for example “recipient count greater than 100”.

Held orders wait for you under Multi Gifts. The Paid orders awaiting review timer (under Cleanup timers on the same page) sets how many days pass before Giftnote flags an order that's still waiting. Giftnote never cancels or deletes it.

If you used Giftnote before September 2026: this replaces Auto Approval, and rules now work the opposite way. A rule now describes an order that needs review. The old rule “recipient count at least 10” meant “approve these automatically”. Entered today, it holds every order with 10 or more recipients. Check each rule before you save it.

3. Offerings

Go to Settings → Multi Gifts, select Edit on your storefront, then open the Pricing and Products tabs.

Product settings & upsells

You can charge two separate fees:

  • Message Fee: a charge per gift message, for example £1. Turn on Charge a message fee. The fee is a real product in your store, so it shows in your Shopify sales and product reports. Include in Child Orders decides whether the fee is copied onto each recipient’s order.
  • Order Fee: a percentage or flat fee on the whole order, with or without a message. Use it for a processing or service fee. Giftnote charges it once, on the main order, and never splits it across recipient orders. Choose Percentage of order or Flat amount, and whether it applies to the Product subtotal or Order total.

For a fee that only applies when there's a gift message, use the Message Fee. The Pricing tab also has a Printed Card option, so buyers can have the message printed on the packing slip instead of sent by email or text.

  • Primary collection: the collection your storefront shows first, for example Christmas Gifting (Products tab). Set the Nav label shoppers see and a short Description shown below it.
  • Cart upsell: up to 8 products suggested at the bottom of the cart drawer, for example Gifts Under £25.
  • Order upsell: a second upsell collection, shown after the order is submitted.
  • Additional collections: more collections in the storefront menu, such as Festive Gift Guide or Gifts Under £75. Select Add collection, then give each one a nav label, a description and optional sub-items.

Restricting products to a subset of buyers

To offer some products to certain buyers only, create a separate storefront with just that collection and send its link to those buyers.

If you used Giftnote before September 2026: the old Gated Products feature (tagging a product gn_mg_PRODUCTTAG so it only showed after the buyer entered an access code) no longer works, and the access code does nothing. A tagged product shows to everyone or no one, depending on whether it's in the Giftnote sales channel.

4. Branding

On the storefront's Branding tab you upload your logos and banner, choose what shows in the Display card, and set colours, fonts and custom CSS. For the rules on custom CSS, see Customising the look of your Multi Gift portal.

Image assets

  • Favicon (icon): the small icon in browser tabs, also used as the storefront avatar.
  • Nav Logo: the main logo in the storefront menu.
  • Header Logo: an optional second logo for the header. Leave it blank to reuse the nav logo.
  • Hero Banner: the large image at the top of the home page.

Theme

  • Radius: how rounded the corners of cards and inputs are.
  • Colors (JSON): your brand colours as HSL values (hue, saturation, lightness), keyed by name. For example, a primary colour of hue 206, saturation 61% and lightness 53% is { "primary": { "h": 206, "s": 61, "l": 53 } }. If you set a colour without its matching -foreground colour, Giftnote picks black or white button text so it stays readable.
  • Custom Fonts: select Add font and enter the font Family, the Weight (for example 400 or 700) and a Source URL starting with https, for example from Google Fonts. Set one body font and one heading font.
  • Custom CSS: one block of CSS that overrides the storefront styling.

If you used Giftnote before September 2026: the Sticky Nav, Custom Nav, Custom Header and Custom Footer HTML sections are no longer on the Branding tab.

Save if a save bar appears.

5. Language

Go to Settings → Multi Gifts, select Edit on your storefront, then open Language & Content. Here you change the wording shoppers see at each step, for example to match your brand's tone or add instructions.

  • Page Meta: the Page Title, Name and Description shown in the browser tab and across the storefront. Keep them short and branded.
  • Step 1 — Gift Selection (Home Page): shown while shoppers pick gifts.
  • Step 2 — Recipients & Messages: shown while shoppers add recipients and write messages.
  • Step 3 — Checkout: shown while shoppers review and submit the order.
  • Order Confirmation: shown after the order is submitted.
  • Order Processing Modal: the pop-up shown while Giftnote saves the order and prepares checkout. The buyer hasn't paid yet, so don't word it as if they have.
  • Buttons: button labels across the steps.
  • Policy Links: a label and URL for each of your terms, privacy, refund or shipping pages, shown in the storefront footer.

Save if a save bar appears. Then open your storefront in a private (incognito) window and check each step. A normal window can show the old wording, because storefront settings are cached.

6. Shipping

Go to Settings → Multi Gifts, select Edit on your storefront and open the Shipping tab. Choose how shipping is priced:

  • Use Shopify Rates (switch): pulls live rates from Shopify, following your Shopify shipping settings, including free shipping thresholds and where you deliver each product. If Shopify returns no rates, your fixed rates are used instead. Best for a small number of recipients. With many recipients it's slower, because rates come from third-party carriers.
  • Fixed shipping rates: rates you set, each with a title, code and price, for example Standard Shipping at $10 and Overnight Shipping at $30. The buyer picks one option and it's charged for each recipient. Select Add rate to add more. The first rate in the list is the default, and you can reorder rates with the arrows. Best for large corporate orders, where speed and consistent pricing matter most.

The Shipping tab also has:

  • Minimum for Shipping Rate: rates aren't fetched until the cart's shippable items reach this subtotal.
  • Max Recipients Per Cart: how many recipients one cart can hold before the buyer starts another. 0 means no limit.
  • Free shipping rules: free shipping in tiers, worked out per cart. For example, “spend $75, standard shipping is free” and “spend $150, overnight shipping is free” as two rules. With no rules, the single Free Shipping Threshold applies (0 turns it off).

To test, add recipients with valid addresses and check that rates appear for each one. A “we don't ship to this location” error means your Shopify shipping zones need updating.

7. Form: add custom fields

On the storefront's Form tab you can ask buyers for extra details when they order, such as a delivery date, packaging choice, PO number or file upload.

  • Custom Input Groups hold your fields. A badge on each field shows whether the answer is written to the main order or to each recipient's order.
  • Field Maps copy built-in storefront details, such as the recipient address or delivery date, onto the Shopify order as note attributes (extra details listed on the order).
  • Review Page Section Order sets the order of sections on the review page.

Date fields can block out dates and use offset rules. A date field only collects the date. It doesn't schedule the order. If a tool such as ShipStation or your 3PL triggers fulfilment, it can read the date from the Shopify order. Everything the buyer enters goes to Shopify, so your team can use it however you need.

8. Notifications

Multi Gift notifications are shop-wide, under Settings → Notifications, not per storefront.

  • To your customer: Multi Gift - Confirmed and Multi Gift - Complete, which keep them updated through payment and completion.
  • To your team: Multi Gift - Confirmed (Staff), Multi Gift - Payment Received (Staff) and Multi Gift - Error (Staff), sent when an order is placed, paid or hits an error.
  • To recipients and shoppers: Multi Gift - Claim Request, Multi Gift - Claim OTP and Multi Gift - Email Verification OTP (OTP means a one-time passcode).

Open an event to edit its content. Each event lists its channels: email plus any connected integrations. Use the email design settings on the same page to apply your branding. The old Multi Gift Denied email no longer exists.

9. Discounts

You can offer automatic volume discounts once an order reaches a spend threshold, for example 5% off orders over $1,000. Buyers see the available discounts in the cart summary, and the discount applies with no code.

On the storefront’s Pricing tab, under Discount Rules, select Add rule and set a Threshold, a Type (Percentage, Fixed amount or Free shipping) and a Value.

If you also allow discount codes at checkout (shop-wide, under Advanced settings), customers may be able to use both. Turn one off unless you're happy for them to stack.

10. Tax

Giftnote uses your Shopify tax settings, the same way Shopify taxes any other order, worked out for each recipient's destination. Tax on message fees and shipping follows the same settings. Shopify charges the final tax at checkout, so check your rates and product tax categories in Shopify under Settings → Taxes and duties.

  • Calculate tax turns tax on or off for multi-gift orders. It's shop-wide, under Settings → Multi Gifts → Advanced settings.
  • Show tax to the buyer, on each storefront's Advanced tab, only controls whether the buyer sees a tax line at checkout.

If you used Giftnote before September 2026: TaxJar is no longer used, and there's no separate “Enable Tax on Messages & Shipping” toggle.
