What each Analytics metric and order status means in Giftnote, with each order's lifecycle and delivery status tracked as two separate fields.

This article covers your Giftnote Analytics and order statuses — what each metric means, what each status tells you, how to find specific orders, and how to export your data.

The top of your Giftnote Home page shows four headline numbers for the date range you pick (Last 7 days by default): Gifts Sent, Sales, Spend and Conversions. Click View analytics to open the full reports. Here's what each metric means and why it matters.

Gifts Sent

Gifts sent in the date range, across gift orders, gift cards and multi gifts

Tracks gifting volume over time so you can spot seasonal trends and measure growth

Sales

Sales value of those gifts

Tells you how much of your revenue comes from gifting — most merchants are surprised by how high this is

Spend

Your Giftnote spend for those gifts

Set against Sales and Conversions, it shows what gifting returns for what you pay

Conversions

Gift recipients who later placed their own purchase. The Conversions report splits them into new and repeat customers and shows the average lag from gift received to purchase

The core return on investment metric — on average, 74–80% of gift recipients have never purchased from the brand before

Products gifted

On the Products report: your gifted products by gifts, sales, spend and conversions, plus top categories and top vendors

Helps you decide which products to feature in gift guides, holiday campaigns, and homepage merchandising

Gift value uplift

How much more your gift orders are worth than your regular orders

Gift orders typically have a higher average order value — this metric shows you the difference

Outstanding liability

On the Gift cards report: unredeemed gift card balance still owed to customers

The number your accountant needs, and the balance at risk as cards near expiry

Quick reference: Order status

Each gift order has two independent statuses: a lifecycle status (where the order is in processing) and a delivery status (where the parcel/message is in transit). Here's what each means.

Lifecycle statusWhat it means
Created / ProcessingThe order was placed and is being validated and enriched. No action needed.
ConfirmedProcessing is done; the order is scheduled or waiting on fulfillment/delivery.
ActiveThe order is in its delivery window.
DeliveredThe gift message has reached the recipient.
CompleteThe order has fully settled — no further action expected.
CancelledThe underlying Shopify order was cancelled.
InvalidA configuration issue is blocking processing — action needed. On gift cards this is most often the gift card product. Go to Settings > Gift Cards > Products, check the configured gift card product is the one you sell, and look for products marked Inactive (inactive products will not process new gift cards correctly).
FailedShown as a Status option in the Gift orders Filter — action needed. Open the order, wait for the page to finish loading, and check the Health card and Timeline for the success or failure detail of each notification. Then retry or resend, or chat with us.
ArchivedThe gift order was archived. It's hidden from the active list and Giftnote stops any further gift processing for it. Archiving can't be undone.
Delivery statusWhat it means
PendingNot yet dispatched.
ScheduledWaiting for a customer-chosen send date, or the instant-delivery grace window. No action needed unless the customer asks to change the date. Open the order and use Edit message to change the scheduled time or the delivery method.
Unfulfilled / Fulfilled / TrackingTracked (on-delivery) orders only — the parcel's fulfillment/carrier state. No action needed: it updates when you fulfill the order in Shopify, and Giftnote then watches the carrier for a delivery confirmation.
DeliveredThe carrier (or the send schedule) has completed and the message has gone out. No action needed.

The old Sent status is now shown per notification: open the order and each row on the Notification Triggers card shows Sent with a count, or Not triggered. The Health column on the Gift orders list shows OK or the number of warnings for each order.

An order I know was delivered still isn't showing Delivered. Has the message failed?
Not necessarily. Open the order and check the Timeline (select Notifications) to see whether the gift message went out. If the Timeline shows it hasn't gone out and the status still hasn't caught up, chat with us using the chat button in the help centre or in the app, or email support@giftnote.com.

Finding and exporting your orders

  • Find an order: select Gift orders and use the search icon and Filter (Status, Method, Medium, Source, Billing, Health). Select Save as view to keep a filter.
  • Export your data: go to Settings > Exports. You can export Gift Orders CSV, Gift Cards CSV, Multi Gifts CSV and a Liability Report of outstanding gift card balances. Pick a date range when confirming, or leave it blank to export everything. Finished exports appear under Export history with a download link.
