Our ready-made Klaviyo flows for gift orders, gift cards and Multi Gift: what each one does, how to brand them, transactional status and going live.

Send every Giftnote email through Klaviyo, in your brand, without building flows from scratch. Giftnote sends Klaviyo an event each time something happens to a gift. Our ready-made flows turn those events into emails that already handle the gift note, the gift card code and any missing details.
1. What you get
Gift messages
- Gift order confirmed (to the gifter): "Thanks for gifting with us", their note and what they're sending.
- Gift message received (to the recipient): "A gift just arrived from Emma", with the note front and centre and the gift itself.
- Gift message delivered (to the gifter): lets them know their note has been delivered.
Gift cards
- Gift card purchased (to the gifter): confirms the card and when it lands.
- Gift card received (to the recipient): the card, the code and the note.
- Gift card delivered (to the gifter), Gift card with no message, Store credit issued and Gift card used (shows the balance left).
Multi Gift
- Request received, approved, declined, confirmed and complete (to the gifter).
- Claim your gift and claim code (to the recipient). These need a Giftnote update before they can go live.
- Placed, paid and error alerts (to your team).
Bring recipients back
- Enjoying your gift? Three days after a gift arrives, invites the recipient to join your list.
- Your gift card is still waiting. 30 days after a gift card arrives, if it hasn't been used.
- Almost a year since your last gift. Reminds gifters before the same occasion comes round again.
2. Get the flows into your Klaviyo account
We're working with Klaviyo to add these flows to the Klaviyo flow library, so you can add them from inside Klaviyo in a couple of clicks. We'll update this article when they're live.
Until then, an AI assistant can build them for you in your Klaviyo account:
- Connect Klaviyo to your AI assistant. In Claude, go to Settings > Connectors and add Klaviyo. Any assistant that supports Klaviyo's MCP server works.
- Copy the prompt below and paste it into a new chat.
- Approve the plan it shows you. It builds every flow as a draft, in your brand, so nothing sends until you switch it on.
I use Giftnote for gift messages and gift cards on my Shopify store. Giftnote sends events to my Klaviyo account. Use the Klaviyo connector to build my Giftnote email flows. Work through these steps in order.
STEP 1: LOOK BEFORE YOU BUILD
- Get my store name, logo, brand colours and fonts from my Klaviyo account.
- List the metrics from the Giftnote integration. For each metric in the table below, pull one recent event and note the exact property names. Build with the real names, not my guesses.
- If a metric has no events yet, tell me and skip it.
STEP 2: SHOW ME THE PLAN
List one line per flow: metric, who gets it, subject line. Wait for my OK before you create anything.
STEP 3: BUILD
For each flow, create a drag-and-drop email template, then a flow triggered by that metric with one email that uses it. Name them "Giftnote Β· [flow name]". Leave every flow in draft. Never set a flow live and never send an email.
Metric | Goes to | What the email says
Placed Gift Order | gifter | Thanks for gifting with us. Shows their gift message and what they bought. One line on when the recipient gets it: now, when the parcel arrives, or the scheduled date.
Received Gift Order | recipient | "A gift just arrived from [From]". Their message front and centre, signed by From.
Gift Order Delivered | gifter | Your gift made it to [To].
Purchased Gift Card | gifter | Confirms the amount, who it's for and when it lands. Show only the last 4 digits of the code.
Received Gift Card | recipient | A gift card from [From]: the amount, the full code, their message, a button to my store.
Gift Card Delivered | gifter | Your gift card made it to [To].
Issued Store Credit | recipient | The amount and code, ready to spend.
Gift Card | recipient | A gift card with its amount and code. Must still read well with no From and no Message.
Redeemed Gift Card | card holder | If balance is above 0, how much is left to spend. If 0, "Gift card, well spent".
Multi Gift - Confirmed | gifter | Thanks for gifting with us, your gifts are on their way.
Multi Gift Complete | gifter | Every gift made it.
Multi Gift - Claim Request | recipient | A gift is waiting for you from [From]. Choose where it goes. Button to the claim link.
Multi Gift - Claim OTP | recipient | Their verification code, and "Didn't ask for this? Ignore this email."
RULES
- Send each email to the profile on the event. Giftnote puts recipient events on the recipient's profile. customerEmail is the gifter's address: use it as text only, never as the send-to.
- Property names with spaces need lookup: {{ event|lookup:'Gift Card Value' }}, not {{ event.Gift Card Value }}.
- Every optional field needs a fallback. From β "someone special". To β "your lucky person". No Message β hide the whole message block. No email may ever show "None" or a blank gap.
- Never start a subject line with a variable.
- No discounts, product recommendations, sign-up forms or social links. These are transactional emails.
- Turn Smart Sending off on every email, so two gifts on the same day both arrive.
- Voice: warm, short, sounds like a gift shop. "Thanks for gifting with us", not "Your order has been processed". Keep each email under 80 words.
- Use my logo, colours and fonts. Footer: "Questions? Reply to this email." plus my store name and address.
- If an event is missing a field the email needs (for example a claim link or a code), build the flow anyway, keep it in draft and tell me which field is missing.
STEP 4: CHECK AND REPORT
Render each template with a real event. Confirm no field shows blank or "None", and fix any that do. Then give me a table of every flow with its name and link. Remind me to turn off the matching emails in Giftnote > Notifications so customers don't get two.Stuck? Email support@giftnote.com.
3. Turn off the matching Giftnote email
If a Klaviyo flow and a Giftnote email both cover the same moment, your customer gets two emails.
- In Giftnote, open Notifications.
- For each notification you now send through Klaviyo, turn the Email toggle off. Leave the Klaviyo integration on.
4. Make the emails yours
Built your flows with the prompt above? They already use your logo, colours and fonts, so skip the banner, sign-up block and setup notes below.
Each email has a yellow setup note at the top. You only see it in the Klaviyo editor; it never sends.
- Banner: every customer email has a banner spot under your header. Swap the placeholder for your own image (1200 x 480 works best) or delete the block. Don't send the placeholder.
- Get the most out of your gift: recipient emails include a short sign-up block. Point its button at your sign-up page. Gift recipients often aren't on your list yet, so this is your chance to win them over.
- Header: replace the shop name with your logo, then right-click the block and choose Save as universal block.
- Footer: save it as a universal block too.
- Drop both universal blocks into your other Giftnote emails, so you only edit your header and footer once.
- Open Styles and set your fonts and colours. Every block follows them.
The emails fill themselves in. If a detail is missing, for example a gift with no message, the email hides that part instead of showing a blank.
5. Transactional or marketing?
Transactional emails reach everyone, even people who unsubscribed from your marketing. Gift recipients often aren't on your list, so this matters. Klaviyo reviews each transactional request.
Can be transactional: the gift order, gift card, store credit, gift card used and Multi Gift emails.
Always marketing: Enjoying your gift?, Your gift card is still waiting, and Almost a year since your last gift.
Klaviyo won't approve an email with a sign-up link, product recommendations, a discount or a marketing button. The "Get the most out of your gift" block in the recipient emails is a sign-up ask, so choose one:
- Keep the block and send the email as marketing. It won't reach people who unsubscribed from you.
- Delete the block and request transactional status. Every recipient gets it.
Our flows come with Smart Sending off on gift emails, so a second gift on the same day still arrives.
6. Text messages
Klaviyo only sends texts to people who have agreed to receive them, even transactional ones. Most gift recipients haven't, so email is the main channel for gift notifications. Giftnote can still send its own gift texts from Notifications.
7. Segment your gifters and recipients
Our flows tag each profile so you can build segments:
- Giftnote Gifter and Giftnote last gift sent
- Giftnote Recipient and Giftnote last gift received
For example, build a segment of recipients who haven't placed an order and send them a welcome series. See 5. Klaviyo + Giftnote segments for more ideas.
8. Before you go live
- Send test events from Giftnote (see 1. How to setup Klaviyo).
- Open each flow in Klaviyo and preview the email with the test event.
- Set each email to Live.
