9. Get an alert when a Multi Gift order isn't paid
Build a Shopify Flow that emails your team when a Multi Gift buyer submits an order but doesn't pay within a day, so you can follow up while they still want to send.

On the free plan or Core? Multi Gift needs the Professional plan. Choose a plan in Settings > Subscription in the app, or email support@giftnote.com and we'll help you choose. Which plan do I need?
Some Multi Gift buyers build their whole order, add every recipient and then stop at payment. Often they're waiting on someone else to approve the spend, or they got pulled away. A quick email or call from your team brings most of them back.
When a buyer submits a Multi Gift order, Giftnote creates a draft order in Shopify tagged GNMG-Parent. When the buyer pays, Shopify completes that draft. This guide builds a Shopify Flow that waits a day after the draft appears and emails your team if it still isn't completed. It takes about 10 minutes.
Before you start
Install Shopify Flow. It's free from Shopify.
Pick the inbox that should get the alerts, for example your sales or customer service team.
Step 1: Create the workflow
In Shopify admin, open Apps > Flow and click Create workflow.
Click Select a trigger and choose Draft order created.
Step 2: Only watch Multi Gift orders
Click the + after the trigger and choose Condition.
Choose Draft order > Tags, set it to includes and enter
GNMG-Parent.
Your other draft orders, like ones your team creates by hand, won't trigger an alert.
Step 3: Wait a day
On the Then path of the condition, click + and choose Wait.
Set it to 1 day.
When the wait ends, Flow reloads the draft order, so the next step sees whether the buyer has paid since.
Step 4: Check it's still unpaid
After the Wait, add another Condition.
Choose Draft order > Status, set it to is not equal to and choose COMPLETED.
A paid order has a completed draft, so it stops here and nobody gets an email.
Step 5: Email your team
On the Then path, add the action Send internal email.
Enter your team's address in Email address.
Paste this into Subject:
Multi Gift {{ draftOrder.name }} is waiting on paymentPaste this into Message:
A Multi Gift order was submitted a day ago and hasn't been paid yet. Order: {{ draftOrder.name }} Buyer email: {{ draftOrder.email }} Company: {{ draftOrder.billingAddress.company }} Total: {{ draftOrder.totalPriceSet.shopMoney.amount }} {{ draftOrder.totalPriceSet.shopMoney.currencyCode }} Submitted: {{ draftOrder.createdAt | date: "%b %d, %Y" }} Open the draft: https://{{ shop.myshopifyDomain }}/admin/draft_orders/{{ draftOrder.legacyResourceId }}Click Turn on workflow.
Prefer Slack? Add Flow's Send Slack message action instead of, or as well as, the email and paste the same message.
Optional: a second nudge after three days
To get a second alert for orders still unpaid after three days, add another Wait of 2 days after the email, then the same status condition from Step 4, then a second Send internal email. Start its subject with Still unpaid: so your team can tell them apart.
Optional: tag the draft
Add the action Add draft order tags after the email with the tag multigift-unpaid. Your team can then filter Orders > Drafts by that tag to see every order waiting on payment.
What your team should do with an alert
Reach out the same day. A short, friendly note works best, for example: "Your gift list is all set. Anything we can help with before it goes out?"
Ask if they need an invoice. Buyers sending gifts for a business often need their finance team to pay. If that's the case, email support@giftnote.com and we'll help you get a pay link to the right person.
Check the delivery date. If the buyer picked a ship or delivery date, remind them it needs payment first to stay on schedule.
If you approve Multi Gift orders by hand, an order still waiting for your approval after a day also triggers this alert. That's a useful reminder too: approve or deny it in Giftnote so the buyer can go ahead.
Test it
Temporarily change the Wait in Step 3 to 5 minutes.
Place a test Multi Gift order and stop at the payment page. See Test a Multi Gift order before you go live.
Check the alert arrives and the draft link opens the right order.
Set the Wait back to 1 day.
The workflow only watches drafts created after you turn it on, so older unpaid orders won't send alerts. To find those, open Orders > Drafts in Shopify and filter by the tag GNMG-Parent and status Open.
