5. Gift Message Not Delivered to Recipient

Troubleshoot a gift message that never arrived: check the order's status and Health in the Giftnote app, fix a missing tracking number, and resend or force the notification.

If a customer's gift message never reached the recipient — even though the order shows as fulfilled in Shopify — this is almost always caused by one of five things, and most can be resolved in under five minutes.

Important context before you start diagnosing: an On Delivery gift message sends when the carrier confirms delivery, not when the order ships. If an order was fulfilled yesterday but hasn't arrived yet, nothing is wrong — the message is waiting for the delivery confirmation. Give it until the parcel is actually delivered before troubleshooting. (Orders using On Fulfillment send when the order ships, and Send Now and Send Later don't depend on shipping at all. Send Now messages wait 15 minutes after checkout before they send.)

Most common causes

  1. The order hasn't been delivered yet. The gift message fires on delivery, not on purchase or fulfilment, so there may be nothing wrong at all.
  2. The fulfilment has no tracking number. Your warehouse or third-party logistics provider fulfilled the order without adding a tracking number, so Giftnote has nothing to track.
  3. The carrier never reports a delivered status. Some local couriers and 3PL setups don't pass delivery scans back, so the message waits for the fallback.
  4. The gift message was scheduled for a future date. Your customer chose Send Later and picked a date that hasn't arrived yet.
  5. The message was sent but didn't land. A typo in the recipient's email or phone, a spam filter, or an inactive Klaviyo flow.

Check what the Giftnote app shows for this order

This is your starting point — the order page tells you exactly where the gift message is in the delivery process.

  1. Open the Giftnote app from your Shopify admin sidebar and select Gift Orders.
  2. Find the order. Use the search icon at the top of the list to search by order number or customer, or select Filter to narrow by Status, Method or Health.
  3. Check the STATUS, METHOD and HEALTH columns, then open the order.

Status

What it means for the gift message

Created / Processing

The order was just placed and is being processed. No action needed.

Confirmed

Processing is done. The message is scheduled, or waiting on fulfilment or delivery.

Active

The gift order is in progress.

Delivered / Complete

The gift message was already sent. If the recipient says they didn't get it, see "Still not working?" below.

Failed

Something went wrong. Open the order and check the Timeline.

Cancelled

The Shopify order was cancelled, so no message will send.

The Health column shows OK or a count of warnings. On the order page, the Timeline card lists every event, notification and status change, and the Notification Triggers card shows whether each notification has been sent.

Wait for the order page to finish loading. While it loads, every row in Notification Triggers can briefly show Not triggered. Don't act until the page has loaded.

How you know it's fixed: If it's an On Delivery order and the parcel hasn't been delivered yet, nothing is broken — the message will send when the carrier confirms delivery.

If an order has been delivered for more than 24 hours and the app still hasn't sent the message, move to the next step.

Make sure the order has a valid tracking number

Giftnote detects the carrier automatically from the tracking number on the Shopify fulfilment — it recognises roughly 700 carriers, and there is nothing to map in settings. If the tracking number is missing or wrong, Giftnote can't follow the parcel.

  1. Open the order in the Giftnote app and check the Fulfillments section for a tracking number.
  2. If it's missing or wrong, fix it. Select the arrow next to Edit message, then choose Change fulfillment / Update tracking. You can also add it to the fulfilment in Shopify.
  3. Use the underlying carrier's tracking number. If you use a tracking aggregator like 17track or AfterShip, fulfil with the actual carrier's tracking number (for example USPS, UPS, Australia Post), not an aggregator reference.

How you know it's fixed: The order's Timeline shows new tracking events, and the message sends when the carrier confirms delivery. If the message may already have been sent, check the Timeline before you resend anything.

When the carrier never reports "Delivered"

Giftnote also reacts to Shopify's own Delivered status. This is your safety net if you use a local courier, same-day delivery, or a third-party logistics provider that doesn't reliably pass tracking data. There is no setting to turn on — it works automatically.

  1. Open the order in Shopify.
  2. Mark the fulfilment as Delivered.
  3. Check the order in the Giftnote app within a few minutes. The gift message should now show as sent.

If this happens often, consider offering On Fulfillment instead of On Delivery (Settings → Gift Orders → Advanced → Delivery Methods), or hide On Delivery on your widget design. See Delivery Options.

Good to know: Giftnote also has a last-resort fallback: orders without valid tracking data, or where the carrier never confirms delivery, will automatically trigger the gift message after 10–12 days. It shows as a Tracking Fallback event in the order Timeline. But you shouldn't rely on this — a 10-day delay means the recipient gets the message long after the gift arrives.

Check if the gift message was scheduled for a future date

If your customer selected Send Later during checkout, they chose a specific date for the gift message to arrive. The message won't send until that date — even if the parcel has already been delivered.

  1. In Gift Orders, select Filter → Method and choose Send Later, or check the METHOD column (sendLater).
  2. Open the order to see the scheduled date on the Gift Message card.
  3. If the scheduled date is in the past and the message still hasn't sent, this is likely an error. Move to the section below.

If the scheduled time looks wrong (for example, several hours off from what the customer expected), check the scheduled date and time on the order in the Giftnote app.

If you need to change the scheduled date or stop the message:

  • To change the date, open the order in the Giftnote app. You can change the scheduled time and the delivery method there. Select Edit message to change the message text.
  • To stop it, open the gift order and choose Archive. Archiving removes it from the active list and stops any further gift processing. It can't be undone, and Giftnote has no delete. If the Shopify order itself is being cancelled, cancel it in Shopify.

Resend or force the gift message

If the gift message should have been sent but wasn't — the parcel is confirmed delivered, the tracking number is right, and the order shows Failed or a Health warning — you can trigger a send yourself from the Notification Triggers card on the order page.

When to use it:

  • The order shows Failed or a Health warning
  • The tracking number was missing at fulfilment but has since been added
  • The order was delivered days ago with no gift message sent

When NOT to use it:

  • The order is still in transit (the message will send automatically on delivery)
  • The row already shows Sent and the recipient simply hasn't looked yet — resending sends a duplicate

To send it:

  1. Open the order and let the page finish loading. Check the Timeline to confirm the message hasn't already been sent.
  2. Find Gift Order - Gift Message Delivered in the Notification Triggers card. This is the message to the recipient.
  3. Select Force if the row shows Not triggered, or Resend if it shows Sent. Resend is also in the menu next to Edit message.

If the order doesn't appear in the Giftnote app at all, contact Giftnote support. The team can trigger the gift message from the backend and investigate why it didn't fire automatically.

How you know it's fixed: The row shows Sent with a send count, and the Timeline's Notifications tab lists the send. The recipient receives the gift message by email and/or SMS (depending on what the customer provided at checkout) within a few minutes.

Carriers with known integration gaps

Giftnote detects carriers automatically, but some carriers and delivery setups don't reliably feed delivery data back. If yours doesn't, mark orders Delivered in Shopify, or offer On Fulfillment, so gift messages still fire on time.

3PLs that fulfil before adding tracking. If your third-party logistics provider marks orders as fulfilled before adding a tracking number, this creates a race condition — Giftnote sees the fulfilment but has no tracking number to monitor. Ask your logistics provider to add the tracking number at the same time as fulfilling the order, or fix it afterwards with Change fulfillment / Update tracking.

Peak periods. If you experience delivery issues during Black Friday, Cyber Monday or other peak periods, third-party carrier integrations can throttle under high volume. Check that your fulfilment workflow adds tracking numbers reliably before peak season, and keep an eye on the Health column.

Still not working?

  • Check the recipient's spam or junk folder. Ask the recipient (or have your customer ask them) to search for an email from your brand. SMS messages can also be filtered by some carriers — have them check their text message spam filter.
  • Verify the recipient's contact details. Open the order and check the email and phone on the Gift Message card. A single extra space or typo in the email field will cause a silent delivery failure. Select Edit message to correct it, then resend.
  • Check whether your Klaviyo flows are still active (if you use the Klaviyo integration). In Klaviyo, find the flow triggered by the recipient's gift message event (Received Gift Order, unless you renamed it) and confirm it's set to Live — not Draft or Manual. If you connected Klaviyo before September 2026, Giftnote still sends the legacy Giftnote - Order Scheduled and Giftnote - Order Tracked metrics too, so existing flows built on them keep working. In Giftnote, Settings → Integrations → Klaviyo should show Connected and Integration Enabled. If you recently reinstalled the Giftnote app, your Klaviyo flows may have disconnected.
  • Contact Giftnote support — include your store URL, the Shopify order number for the affected order, and a screenshot of the order page in the Giftnote app so the team can help you faster.
