Giftnote gift card exports

Giftnote offers an easy way to create exports of your gift cards and generate liability reports for reconciliation and financial tracking purposes.

Why export gift card and liability reports?

Exporting gift card and liability reports is crucial for managing your finances and ensuring accurate reconciliation. These exports give you detailed information about issued gift cards, their balances and your outstanding liability, so you stay on top of your financial obligations.

Which export should I choose?

  • Gift Cards CSV: every gift card record, including ID, status, balance, recipient and order reference. Choose this for a detailed list of issued gift cards with their current balances and statuses.
  • Liability Report: a snapshot of your outstanding gift card balances, meaning what you still owe customers. Choose this for financial accounting and for tracking unredeemed balances. It is the one to send your accountant.

Step 1: Go to exports

  1. In the Giftnote app, go to Settings > Exports.

Step 2: Run an export

  1. Find the Gift Cards CSV or Liability Report row.
  2. Select Export on that row.
  3. Confirm in the dialog that appears. Optionally pick a date range there, or leave it blank to export everything (not available for Liability Report — it's a point-in-time snapshot).

Step 3: Download

  1. Once ready, the export appears in the Export history table below the export rows, with a download link.
  2. Download the file. The Gift Cards CSV opens in any spreadsheet and imports into most accounting software.

Tips for using exported data

  • Review regularly. Schedule regular reviews of your gift card exports and liability reports to keep your financial records up to date.
  • Import into your accounting software to streamline reconciliation.
  • Monitor outstanding liabilities. Use the liability report to track unredeemed gift card balances, which helps with forecasting and managing financial obligations. For a live figure without exporting, Analytics > Gift cards shows your outstanding liability, redemption rate and balances expiring soon.
